What to look for in an AI voice agent.

Useful framing whether you're evaluating us, Vapi, Bland, Synthflow, or building your own. The questions support leaders underweight cost more in production than the ones they obsess over.

Criterion 01 / 07

Latency matters more here than in other verticals.

Tier-1 callers tolerate less wait than legal or insurance callers. Sub-second response time matters for support specifically. Reasoning quality still matters more than 250ms vs 500ms, but the bar is higher than verticals where the call feels like a meeting.

Criterion 02 / 07

Help-desk integration depth.

If your team runs on Zendesk, Intercom, HelpScout, or Freshdesk, ask the vendor how their integration actually works. Native ticket create with full context? Webhook to a Zapier middleware? Manual import? The depth determines whether your agents see the AI calls in their existing workflow.

Criterion 03 / 07

Knowledge-base ingestion.

Generic AI voice agents need an explicit knowledge base. Ask the vendor whether they crawl your help center URL automatically, accept a doc upload, or require manual prompt configuration. Auto-crawl with weekly refresh is the gold standard but rare.

Criterion 04 / 07

Escalation handoff quality.

When the agent escalates, what does the live human see? A transcript with key points highlighted? Customer context? Recommended next step? Or just the customer mid-sentence with no context? Ask for a recording of the vendor's escalation flow.

Pricing structure: per-minute, per-deflection, flat.

Per-minute pricing aligns the vendor's incentive with longer calls. Per-deflection (per resolved Tier-1 ticket) aligns with your incentive but is rare. Flat-rate per-month is simplest. Pick the structure that aligns with how you measure support cost.

Edge case handling.

Frustrated customers, refund requests, cancellation calls, complaints about your team. Ask for a recording of the vendor's agent handling each. The polish in edge cases tells you more than the polish in the demo. A bad de-escalation costs you a customer.

The data exit story.

If you decide to switch vendors, can you get your call audio, transcripts, ticket data, and KB-mapping in a portable format? For data tied this closely to your help desk, you should not be locked in. Ask before signing.
